Installed, tuned, then it runs.
This is not a retainer that buys meetings. It is infrastructure — built once, improved nightly, and reported honestly. If a page is ranking, we protect it. If a tactic risks your name, we tell you no.
Audit, install, operate.
Audit & Foundation
Your rankings, listings, site health, and lead handling — measured, not guessed. We fix the foundation before we build on it.
Install the Engines
Content system, CRM pathways, AI reception, review funnel — adapted to your specialty, your staff, and your compliance obligations.
Nightly Operation
The system publishes, audits, responds, and reports every night. You see every change in plain English before it ships.
Step 01 — Audit & Foundation
Two weeks, and the output is a document rather than a proposal. We measure where you actually stand instead of describing where you could be.
- Search position. Every term that matters in your market, where you rank today, and who holds the positions above you.
- Site health. Speed, indexability, canonical integrity, structured data, accessibility — the technical debt that caps everything else.
- Listings and reviews. Where your practice is cited, where the details disagree, and how current the reviews are.
- Lead handling. We call and submit forms like a patient would, and time the response. This is usually the most uncomfortable page of the report.
Nothing gets built on a broken foundation. If the audit finds that the site cannot carry a content engine, the rebuild comes first and we say so.
Step 02 — Install the Engines
Engines are installed in the order that pays soonest for your particular practice, not in a fixed sequence.
- Speed-to-lead first where inquiries already arrive and go cold — it is the fastest return in the whole system.
- Website and technical foundation where the site itself is the constraint.
- Content and rank protection once pages can rank and stay ranked.
- Review funnel and listings alongside, because they compound slowly and should start early.
Each engine is tuned to your specialty, your staff, and your compliance obligations before it is switched on.
Step 03 — Nightly Operation
Once installed, the system runs on its own schedule and reports to you on yours.
What the practice sees each week
- Monday: last week's rankings, impressions and inquiries, with the source and date on every number.
- Through the week: articles published, each one physician-reviewed, listed with its target question.
- Any morning something breaks: an index-guard alert naming the page, the cause, and what was done about it.
- Monthly: a plain-English summary of what changed, what it cost, and what we recommend next — including the recommendation to do nothing, where that is the honest answer.
What we will not do
We will not buy reviews, build link farms, publish clinical claims a physician has not reviewed, or take a second practice in a market where we already work. If a tactic would put your name at risk, the answer is no — and you will hear the reason.
How the engagement works.
How long does the install take?
The audit is the first two weeks. A website rebuild adds six to ten weeks depending on how much content moves. The content, reception and review engines can start before the site ships if the existing site is healthy enough to carry them.
What do you need from us?
A physician who will review clinical content, someone at the front desk who can tell us how the practice really runs, and access to the domain, listings and CRM. That is close to all of it.
What happens if we stop?
You keep the website, the content archive, the CRM data and the listings. They are your assets, hosted on your accounts. We hand over the keys rather than holding them.
Your competitors hired an agency. You're about to install an engine.
Practice Hero works with a limited number of practices per market — one specialty, one territory, no conflicts. Tell us about your practice and we'll show you exactly what the engine would do in your market.
